Attendance group management

Enterprises have different natures and categories of employees, positions, and departments, and the attendance systems may be different. In this case, we can classify them through the attendance group and conduct unified management.
After the administrator has set up the work location, clock-in method, attendance rules, and shifts in the system, he or she can create an attendance group. After completion, employees can be added to the attendance group to participate in attendance and clock-in management.
There are four types of attendance groups: fixed system, scheduled system, free work type, and no clocking in. ① Fixed: suitable for employees with fixed working hours. For example, working hours are from 9 to 6 from Monday to Friday, such as in an office. ② Rostering: Suitable for employees who need to work shifts and whose daily working hours are not fixed, such as catering, retail and other service industries. ③ Free working Hours: Suitable for freelance workers. There is no specific shift. You only need to record their check-in time each time, such as part-time work. ④ No punch-in/out: Suitable for employees who do not need to clock in.
Please note: Only employees who were selected on the shift schedule will be displayed on the employee schedule.
Operation steps: [Attendance] > [Attendance Setting] > [Attendance Group Management] > [Create Attendance Group]
On the page to create an attendance group, fill in the name of the attendance group and select "Fixed" for the attendance group type.
Choose to associate overtime rules and make up punch-in rules (set in "Attendance Rule")
Select applicable employees, that is, select employees who match this attendance group. When a new employee is added to this attendance group, the settings of this attendance group will be applied. If the selected employee to participate is "Department", any new employees who join the selected department will automatically belong to this attendance group, and their attendance mode and attendance rules will be based on the settings of this attendance group. After selecting, click "Next".
The APP attendance clock-in allows administrators to choose different clock-in methods. The address and Wi-Fi mentioned have been set in "Punch-in Method", so you only need to choose the check-in method. For setting up the App for punch-in, if you use the location to clock in, select the corresponding punching address. If you use Wi-Fi to clock in, select the corresponding clock in Wi-Fi.
If you have added your work address earlier, you can click "Select Check-in Address".
Allowing field clock-in, that is, employees can clock in on the APP, record the clock-in address and upload photos in real time, so that the company can know the real-time location of employees.
Anti-cheat punching, after enabling it, you can check the anti-cheating clocking record in APP-Attendance Punch-Team Statistics to prevent using cheating software to clock in or clocking in on behalf of others, etc.
For Check-in QR code and Face recognition punch-in, please refer to Punch-in Method for setting. Allowing selected admin/ manager to generate QR codes to check-in employees in the attendance group.
Turn on automatic clock-in, including clock-in at work and clock-in at get off work. Automatic clock-in will be triggered when the APP is opened.
Since employees may not be able to use the APP to punch in on the day of joining/resigning, when automatic clock in when employees leave and join, the system will "assume" that new employees arrive on time on the first day and resigned employees leave on time on the last day, and automatically replace the new employees and Resigned employees will make up for their normal punch-in time. Then click "Next". In addition, some companies only require employees to clock in when they come to work, but there is no need to clock in when they leave work. Therefore, the administrator can check the box to automatically add the last off duty card for employees according to the needs of the company.
Companies can also choose whether employees need to clock in when out and on days off. This is for the convenience of employees who often need to go to work on rest days to record their attendance.
After finished setting, then click "Next".
Set working days and set employee working hours through "Update Shift"
Click "Edit in batch" to uniformly set the shifts from Monday to Sunday. After selecting the shifts, click "OK".
If you need to automatically compile holidays as breaks, click "Statutory Holidays" after selecting the country/region.
Special day settings: For special work situations, the administrator can add special shifts on designated days. For example, if there are big or small weeks, you need to clarify which days are rest or work; when there are holidays or shifts, you also need to set special days; the original working days can be changed to rest and the settings can be completed. In the special day column, click "Add new date", select the working day date, update the shift, fill in the remarks, and click "Submit".
After completing the attendance time setting, go to "Next"
After the attendance group is successfully created, it can be viewed on the attendance group management page. You can enter the attendance group settings through "Edit" on the right-hand side and add new employees to the attendance group.
The operations for creating an attendance group are similar. Compared with the "Fixed" group, the "Rostering" has fewer attendance time settings, but the basic settings include more attendance shifts, administrator settings, and viewing of the shift schedule.
Fill in the name of the attendance group
Select "Rostering" for the attendance group type, and set basic settings such as APP attendance and clocking in.

Set the attendance shift and select the shift. At the same time, in order to reduce the workload of the administrator, you can check the check box for employees to choose the shift to clock in when the shift is not scheduled. Afterwards, if the administrator makes up the shift for the employee, the employee's clock in information can be compared with the make-up shift. The commuting time is linked to identify attendance.
If you click "Employee Selected Shift", employees are allowed to choose their own shift when clocking in on days when no shift is scheduled, so as to facilitate the handling of temporary changes.
Click "View Schedule" to allow employees to view the schedule of employees in the same attendance group on the APP.
After setting holidays to be automatically programmed as breaks, click [Save].

Attendance group type select "Free Working Hours (for Freelance)"
Since the attendance standard time has been set as free working hours, employees do not need to work overtime. There is no overtime rule associated with the setting, but "Make-up punch-in rule" can be associated. Click "Save" after associating.
Select applicable employee / dept, then "Next".
Set attendance standard duration
Set working days. If you need to know which days to rest or work on, you can set "Special Days". For example: If you set Saturdays and Sundays as working hours, but January 30th is Sunday, and the company stipulates that you are not allowed to work on holidays, then you can add a new date as a special day and update the working day shift to rest.
Set the attendance start time, that is, what time does attendance start for a new day every day. For example, if it is set to start attendance at 08:00, then clocking in at 08:00 will start counting 8 hours of attendance time; if clocking in at 09:00, then clocking in at 09:00 will start counting 8 hours of working time.

Set the attendance start time, that is, what time does employee start for a new day every day. For example, if it is set to start attendance at 08:00, then clocking in at 08:00 will start counting 8 hours of attendance time; if clocking in at 09:00, then clocking in at 09:00 will start counting 8 hours of working time.
Set working days. If you are clear that a specific day is to rest or to work, you can set "Special Days". For example: If you set Saturdays and Sundays as working hours, but January 30th is a Sunday, and the company stipulates that you are not allowed to work on that holiday, then you can add "a special day" and update the working day shift to rest.

Fill in the name of the attendance group, select "No punch-in" for the attendance group type
There is no clocking in, so there is no need to associate clocking in rules, just associate overtime rules.
Select the employee and click "Next".
Set shifts, statutory holidays, and special days, and click "Next".
After the attendance group is successfully created, it can be viewed on the attendance group management page. You can enter the attendance group settings through "Edit" on the right hand side and add new employees to the attendance group.
