1. Add or remove Platform Functions

The app system contains many features, and employees can choose frequently used functions to add to the platform for easier access. For example: attendance, approvals, etc.

2. Function Details

  • The "Platform" contains frequently used functions, such as attendance, approvals, etc.

Note: This is the default interface, the interface displayed by actual employees (for example: approval name, buttons, etc.) will vary according to different settings of the company.

2.1 Attendance Punch Card

  • Operation: ① [Platform] > [ Attendance Punch-in ] > [ Checked-in ] ② The name of the employee and the attendance group they belong to; you can check the relevant rules under [ Attendance Rules ] ③ Click [ Attendance punch-in ] to record real time punch-in ④ 【User Positioning/Wi-Fi 】 Users need to meet the check-in conditions to punch-in (you need to allow YOOV WORK APP to obtain positioning information, it is recommended to set precise positioning on the mobile phone to improve the accuracy of GPS positioning) ● For [ Wrong location/Failed to connect to Wi-Fi ], click [ Relocate ] for the system detect again ● If the administrator allows out-of-office punch-in, even if the punch-in conditions are not met, the employee can still punch-in, and the system will record the employee's location at that time. ⑤ 【Check-in time】 will determine the employee's punch-in status according to the employee's shift on the day ( for example: normal, late, early leave ... )

2.11 Field work punch in

  • The system has an out-of-office punch-in function. When the administrator has set in the backend to allow employees to punch-in when out of the office, and the Wi-Fi or GPS location that the employee is connected to is different from the one set by the administrator in the backend, the system will record the new information and switch the punch card to the field work punch card mode.

  • Operation: ① [Platform] > [ Attendance Punch-in ] > [ Checked-in ] ② Confirm whether the location detected by the system is the location where you are ③ As set by the administrator, employees can fill in the notes and click the lower right camera button to take pictures ④ When the card is successfully punched-in, the employee will see the prompt message of "Successfully punched-in"

2.12 Attendance Statistics

  • Operation: [ Attendance Punch-in ] > [ Statistics ] > [ Personal Statistics ] > Enter this page to view the daily attendance data (Fig. 1).

  • Click [ More ] to view the statistics of total attendance hours calculated by week / month (Fig. 2) and related detailed records (Fig. 3) .

2.13 Punch card calendar

  • Under [ Daily Record ] , you can view attendance records, punch-in records, punch-in details, shift details (work shift time and work location).

2.2 Sign in

  • Operation: [ Platform ] > [ Check-in ]

  • The system will display the GPS location of employees in real time, so that when employees go out to work, the company can also know the employee's work location and time (but the check-in function cannot be used for punch-in purposes).

    Note: Employees need to allow YOOV WORK APP to obtain positioning information

    Note: It is recommended to enable precise positioning under mobile phone settings to improve the accuracy of the GPS positioning

  • When the employee is sure that the GPS location is correct, click "Check-in." The system will record the location and time in real time.

    If there is an error in the positioning, click "Location fine-tuning" to make corrections and then press "OK" to record. The administrator can also require the employee to take a photo at the time of check-in as proof. After filling in the check-in remarks and submitting the photo, the check-in details can be reviewed.

2.4 My Payroll

  • Operation: [ Platform ] > [ Check-in ] , You can view the salary slips issued by the administrator to the employees through the system.

  • Salary slips are classified by year, and you click "< / >” to go to the corresponding year as needed. Click on a payroll item to view details.

  • Payslip Details: ① Shows the pay period selected:

    【Actual amount】 The actual amount of employees’ income after deducting the employees’ MPF contributions, and the sum of wages without MPF calculation

    【Wages payable】 Total wages before deduction of employee's MPF contributions

    【Total attendance deduction】 Including late arrival, early departure and leave deduction

    ② According to the actual company settings, this displays the details of each salary item ③ 【Download】 Save the payslip as a PDF file to the user's mobile phone ④ 【Feedback】 Leave a feedback message regarding salary issues to the administrator ⑤ Within the specified time, employees can click "Confirm Payroll"

2.5 Leave

  • Operation: [ Platform ] > [Leave]

  • You can view the leave type, balance and details (issue period and date, amount, and effective time) of the leave you apply for.

    Note: If the [ Leave ] page displays "No data", that means the administrator has not applied any leave type to the employee in the system.

2.6 Policies

  • Operation: [ Platform ] > [ Policies ]

  • View the policies issued by the administrator, click to view the content and attachments (if any).

2.7 Update Roster

  • Operation: [ Platform ] > [Update Roster ] (Only for scheduled employees)

  • In the monthly calendar, you can view the shift schedule information of the same attendance group, and your shift for the day will be marked under the day.

  • Click on a date to view all the shift information, employee schedule and employee status for that day. For example, when a colleague applies for leave, it will also be listed.

  • Click the title of the shift to view the details of the shift, including: shift date and time, the number of people, etc., and the list of employees and their positions will also be listed.

2.8 OA approval

  • Operation: [ Platform ] > [OA Approval ]

  • 【Application approval】 Employees can submit different applications in this function, such as: leave application, overtime application, reimbursement application, etc.

    【Initiated】 You can check the details and approval status of your application.

    Note: If the administrator has set that the approval application can be revoked after initiating an approval application, it will be revoked immediately if the approval application is not approved. If the approval status is approved, approval is required to cancel the application.

2.10 Leave approval

  • Employees can submit leave requests in this function.

  • Operation: ① [ Platform ] > [ Leave Approval ] ② Select the type of leave (the system will display the type of leave the employee is entitled to and the available balance (if any))

    ③ Select the date and time period of the leave request (if it is set to leave by the hour), the system will automatically calculate the duration after completion.

    ④ If required by the company, you must fill in the reason/submit pictures/attachments as proof.

    ⑤ After confirming that the information filled in is correct, click "Submit Application", and the system will immediately send your application to the designated approver for approval.

    Note: You can also check your application approval record in [ OA Approval ] .

2.11 Swap Shift Approval

  • If an employee is in a shift-based attendance group and wants to swap shifts with another employee in the same attendance group, he or she can apply for this function.

  • Operation: ① [ Platform ] > [ Swap shift approval ] ② Select the date to apply for swap (the system will automatically list the employees of other shifts on that day)

    ③ Select the employee to be swapped (the system will automatically list the employee's shift for the day)

    ④ Confirm that the information filled in is correct, click "Submit Application", and the system will immediately send your application to the designated approver for approval.

    Note: After the employee submits the application, the swapped employee will become the first approver in the approval process, to ensure that the swapping employee agrees to the swap.

    Note: After the transfer is approved, the shifts of the two employees will be automatically transferred, eliminating the need for additional modification procedures by the administrator.

2.12 Overtime approval

  • Operation: ① [ Platform ] > [ Overtime Approval ] ② Select Type: Working Days / Rest Days / Statutory Holidays

    ③ Select the start time and end time of overtime (the system will automatically calculate the time)

    ④ Select compensation method (if required)

    ⑤ Confirm that the information filled in is correct, click "Submit Application", and the system will send you an instant message that the application is submitted to the designated approver for approval.

2.13 Field work approval

  • Employees can apply for "Field work approval" when they need to go out to work.

  • Operation: ① [ Platform] > [ Field work approval ] ② Select the type of field work (outside work, work from home or work overseas) ③ Select the start time and end time ④ After completion, click "Submit Application" ⑤ When this approval has been approved, the employee must punch in the "Field Work Start Time" and "Field Work End Time". Otherwise, the system will display the status of "Missed Card."

2.14 Make-up punch card

  • If an employee forgets to punch-in, they can submit an application to this function to make up the punch card.

  • Operation: ① [ Platform] > [ Make-up punch card ] ② Select the time of replacement punch card ③ Fill in the reason for the replacement card ④ Provide pictures (if required) ⑤ Confirm that the information filled in is correct, click "Submit Application", and the system will immediately send your application to the designated approver for approval.

2.15 Reimbursement approval

  • If employees need to reimburse the company for their use of funds, they can submit an application to this function.

  • Operation: ① [ Platform] > [ Reimbursement Approval ] ② Enter reimbursement amount ③ Select reimbursement category ④ Enter reimbursement date ⑤ Fill in the cost details, provide pictures, attachments (if necessary) ⑥ Confirm that the information filled in is correct, click "Submit Application", and the system will immediately send your application to the designated approver for approval. Note: The content filled in the reimbursement approval application may vary due to administrator settings

2.16 Transfer Approval Form

  • Approver can transfer the approval form to others.

  • Operation: ① [ Platform] > [ Pending] > [ Transfer]

  • System also allows approver select more than one approval forms and transfer to another employee as approver.

All attendance data will be synchronized to the system in real time, and administrators can instantly view employee punch-in information in the system.
