On the approval page, the system has preset multiple approval templates, but the administrator can also add different approval forms as needed.
Operation steps: [Approval] > [Approval Template] > [New Approval]
Administrators can use the classic templates provided by the system
If you need to customize the form, after entering the settings page, you can fill in the name, group, template administrator, icon and description of the approval form.
Grouping refers to classifying approval forms into categories (such as attendance, personnel, finance, etc.). Template administrator refers to authorizing specific employees to make modifications to the approval form. Icons and descriptions allow administrators to create clear illustrations and descriptions of approval form contents.
As shown in the figure below, if the reimbursement approval template is categized in Finance group, the App user page will display the corresponding form in Finance.
If you need to set the approval template name in different languages, you can click the globe icon on the right, and then follow the instructions to enter the display name corresponding to different languages. After entering the relevant information, you will see the set display name in the corresponding language interface.
Administrators are free to choose the required content for the approval form. Taking the visitor record in the figure below as an example, the system allows the administrator to select the appropriate widget from the widget library on the left, and then change the title, prompt text, and select whether it is required and can be printed out.
The widget library can support display in different languages. You can click the globe icon on the right side of the corresponding text box, and then follow the instructions to enter the display text corresponding to different languages. After entering the relevant information, you will see the set display text in the corresponding language interface.
The system can design processes based on the company's approval policies. There are options for simple processes, conditional processes, and multi-condition processes. You can select the corresponding process template on the left.
Taking leave approval as an example, all employees can apply for leave, so the initiator (applicant) is the owner.
Click the initiator and enter "Add Initiator" to select the appropriate person.
Set the initiator, reviewers, and person to copy to. After setting, click "Next"
【Applicant】 mean who can initiate this approval. By default, everyone can be the initiator. Administrators can also select members as needed.
【Approver】 The approver is the evaluator of the form. You can choose to specify a member or a supervisor (e.g. the person in charge of the administrative department is Jenny, and all employee approvals will be handed over to Jenny).
【Copy】 The administrator can set up the approval to Copy to, which cannot exceed 20 people, or check "Allow the applicant to choose themselves" to set the initiator's choice of Copy.
If there is more than one approver, you can choose to approve in sequence (e.g. first to Jenny, then to Jessica, and finally to Christy), or "countersign" (that is, all approvers must agree to approve), or "or sign" (Using the above example, the application will be approved if 1 of 3 people approves it).
In addition, the administrator can also set the approver as the applicant's direct superior (E.g. the applicant is Amy from the Admin department, and Amy's immediate supervisor is Jackson. Although the person in charge of the Admin department is Jenny, since Amy's immediate supervisor is Jackson, Therefore, the system will hand over Amy's application to Jackson for approval).
【Initiator's choice】 (The initiator can choose who will approve the form when submitting it for approval). You can choose one or more people, or you can set the selection range to the entire company or select from designated members.
Administrators can set up the approval process based on different conditions (such as the number of annual leave applications, employees in different departments). For details, please refer to "How to set up a conditional approval process?"
E.g.: ① Click Condition 1 to set conditions ② Click the sponsor and enter [Add Sponsor] to select the appropriate object. ③ You can specify and select the following departments to apply to the process. ④ And select the holiday type to apply to the process
If the same approver appears more than once in the process, the system will remove the duplicate approver and retain the first/last duplicate approver as needed.
Approval opinions
Required: The approver must fill in the comments for the application
Invisible to the applicant: The applicant cannot see the approver’s comments
Submission on behalf of others is allowed: The applicant can be not the person applying for leave.
Revoking the approved applications is allowed: Even if the applicant applies for leave and it is approved, the applicant can also cancel the application if needed.
Approval project summary The administrator can also set which items in the approval form will be displayed in summary form on the page where the approval is processed.
Approval opinion filling prompts support display in different languages. You can click the globe icon on the right side of the corresponding text box, and then follow the instructions to enter the display text corresponding to different languages. After entering the relevant information, you will see the set display text in the corresponding language interface.
Administrators can choose to revert to earlier settings and modify them again.
Click "Publish" in the upper right corner of the page and click "Finish" in the pop-up window.
