Attendance rules include missed punch rules and overtime rules. Once set, they can be applied when establishing associated attendance accounting rules for the attendance group.
The system allows administrators to set the number of times each employee can make up their punch-in per month.
Operation steps: [Attendance] > [Attendance Setting] > [Attendance Rules] > [Make-up Punch-in Rules] > [Add Make-up Punch-in Rules]
Administrators can set corresponding overtime compensation methods according to three modes: working days, rest days and holidays.
(For detailed rule settings, please refer to Reference - 3.2 Overtime Rule Setting Instructions)
Operation steps: ① [Attendance] > [Attendance Setting] > [Attendance Rules] > [Overtime Rules] > [Add Overtime Rule] ② On "Add Overtime Rule" page, fill in the name of the overtime rule, set the overtime compensation method, accounting rules, overtime time limits and overtime rule setting instructions for working days, rest days, and legal holidays. Note: The overtime accounting rule means when approval is needed, it will be calculated according to the application. The overtime hours limit cannot be set. ③ Set the minimum overtime duration and overtime duration calculation unit, and click "Save".
Administrators can set overtime rules for working days, rest days and statutory holidays, and the system will calculate the final overtime hours based on the settings.
Ways On Compensation | Explanations |
No compensation | No compensation will be given for overtime work. Only for record display and duration statistics |
Overtime Leave | Overtime is converted into a compensated rest period in proportion. For example, if 1:0.5 is used as a compensated rest period, then 1 hour of overtime will be converted into half an hour of compensated rest period. By analogy, if 2 hours of overtime are worked, there will be 1 hour of compensated rest period. |
Overtime Pay | Overtime is converted into wages and can be compensated in a fixed amount or a certain percentage of wages. |
Overtime pay or overtime leave (employee’s choice) | Employees choose their own compensation method when initiating approval. They can choose overtime pay or overtime leave. |
Please note: ① Overtime wages: You need to be set in [Payroll] > [Payroll Settings] > [Payroll Rule] > [Attendance Leave Payroll Rule] > Edit > Overtime Calculation Rule. ② Overtime leave adjustment: You need to set the rules in [Leave] > [Leave Settings] > [Compensation Leave] > Edit > [Leave Granting Rules].
No approval required: Employees do not need to submit overtime approval. The system automatically calculates overtime hours based on the employee’s punch-in time, combined with shift and overtime time limits. For example, if the normal shift ends at 18:00 and the employee clocks in at 22:00, the system automatically calculates the overtime time as 4 hours.
Approval required: Employees need to submit overtime approval, and the system calculates overtime hours based on the approval form. For example, if the overtime time in the submitted overtime approval form is 18:00-22:00 and the overtime duration is 4 hours, the system will take the time filled in the approval form as the basis and calculate the overtime time as 4 hours.
① Overtime time limit on working days
Supports setting "The latest time for working overtime" and "excluding overtime" period (the last break from gets off work). Below example: the working time for weekday shifts is 09:00-18:00; the rest time after get off work in the afternoon is set to 60 minutes; the latest overtime time is 23:00.
The corresponding period for calculating overtime is as follows:
② Restrictions on overtime work on rest days/statutory holidays
Supports setting "The latest time for working overtime" and "excluding overtime" period. Below example: the valid time period for employee overtime punch-in is 00:00-23:59; the set time period for not counting overtime is 12:00-13:00 and 18:00-19:00, and the latest overtime time is 23:00.
The corresponding period for calculating overtime is as follows:
Employees must work overtime for the minimum overtime period to be counted as overtime, otherwise the overtime period will be recorded as 0. For example: the minimum overtime duration is set to 1 hour, and the employee only works overtime for 40 minutes. If the minimum overtime duration is not reached, overtime is not counted, and the overtime duration is 0.
Overtime hours are calculated based on the minimum overtime unit, and if the overtime does not meet the minimum, it will not be count as overtime hours. For example, if the overtime unit is set to "hourly" and the employee works overtime for 4.5 hours, the system will deduct the portion less than 1 hour and calculate the overtime duration as 4 hours.
